First, you must start by deciding on a budgeted dollar amount for the event. How much can you afford? How much is needed in order for the event to be successful? What services do you plan on hiring? These are just a few questions that you should ask yourself in order to establish an overall budget.
Second, you must break down each service you plan on hiring in order to properly allocate the overall budget spending. What are all the services you plan on hiring for your event? Are you planning on serving food? What type of food? How much do you want to spend per person? How many people do you plan on inviting? What sources are you using to invite guests to your event? How much are invitations or advertising? Once you have all the costs allocated, you can then start preparing a detailed budget.
Third, know how many guests you plan on inviting and stay within reach of that number. It is important to have an idea of the number of guests you have invited or expect to attend your event. This will assist in budgeting not only in dollars but size of location needed, parking availability, overnight accommodations (if needed), networking accessibility and overall event success.
Forth, you are holding an event...what are you going to do to keep your guests entertained? Have you thought about implementing entertainment into your budget? This is an easy way to exceed your budget otherwise. Plan entertainment in a timely fashion, it will help you save money in the long run. Short notice on entertainment will sometimes cost you more money or even a different form of entertainment than originally planned all together. Know your audience and what makes them happy. Provide similar entertainment to their tastes and it will help in hosting a successful event.
Fifth, think of the details. If you are not familiar in organizing an event. Hire an event planner to assist you. Find a planner who fits in your budget. They are out there! Several forgotten details could make or break your budget and cause an unnecessary headache, if the event is not properly thought out and planned.
